The back end of a spiritual business

One system that holds your ideas, your calendar, your money and your writing, with an AI assistant working inside it. The first one I built was for the Psychic Development School, the business I manage for my girlfriend Gabs. For three months I've been using AI to build a back end system for her to run her whole business.

Here's how it works.

It starts with the brain dump

Spirit doesn't wait for a convenient time, and neither do ideas. Everything goes into one brain dump the moment it lands: a post idea, an email that needs sending, a task for next week. The AI assistant goes through it and actions each one, then leaves a note of what it became, so nothing floats in the field and never gets implemented.

Everything lives on one calendar

Calls, launches, course start dates and email sends sit on a single timeline. You can see what's running right now, what's coming, and where two things are about to land on top of each other, before it happens.

The money is always visible

Every client, payment and payment plan is tracked in one place, with what this month is projected to bring in sitting next to what's already banked. Every offer and price lives in one catalogue, so a new payment plan is ready before anyone buys it. A weekly money check flags anything late, and the bookkeeping is ready when the bookkeeper asks.

Emails are planned, written and scheduled

Every email has a home, a send date and a status. Drafts are written in the business owner's voice, from her own words, and sit there for approval before anything goes out. No last-minute sends, and no one getting the same email twice.

Your writing gets captured

Journaling, downloads and voice notes go into a writing vault as they come. From there they get drafted into posts, emails and longer pieces, built only from what you actually said.

The day is laid out before you wake up

Each morning a brief is waiting: what's due, what's on, what needs a decision. At the end of the week a wrap-up shows what got done and what's carrying over.

AI on its own is a blank chat box. What makes it work is a system for it to operate within, and someone who knows how to run one. Managing AI is just management, and that is where I thrive.
